Membership Terms & Conditions

GENERAL

• All Colets members are required to provide a picture of themselves to be attached to their account. This picture will solely be used for identification purposes and will not be shared with any third parties. 

• To access the club, all Colets members must present their membership card at reception upon arrival. The card is necessary for registration, participation in booked sessions, and accessing member-discounted products. Membership cards are non-transferable and valid only for the named member. 

• Members aged 13 and above must complete a physical activity readiness questionnaire (PARQ) when using the club's facilities. PARQs should be updated every three years or promptly if there are any significant changes in health. The questionnaire can be found in the online Member Area (bookings.coletshealthclub.co.uk). 

• Guests are welcome at Colets but must be accompanied by a member who is 18 years or older. Guests need to sign in at reception, and a guest fee will be applied. The host member is responsible for ensuring their guest's conduct while visiting the club, and any outstanding fees or charges are the host member's responsibility. 

• Colets cannot accept responsibility for any personal property loss, damage, or personal injury that may occur on the premises. Personal lockers are available, but please bring your own padlock. 

• Club members may park their cars in the club car park at their own risk only while visiting the club. It is advised not to leave valuables on display in vehicles. 

• Specific parking bays for disabled individuals and parents with children are marked in the front and rear car parks. These bays should only be used by those who qualify for them. 

• Colets will provide up-to-date information on its website and at Reception in the event of facilities that are ‘out of order’ or unavoidable staff absence. For any pre-booked instructor-led activities affected by such situations, efforts will be made to contact all members, but guaranteed contact cannot be assured. Please contact the club or read the provided information in advance if you are uncertain about the availability of any service. 

• It is important to follow the safety instructions provided by the Duty Manager, Gym Instructors, Lifeguards, and other club supervisory staff at all times. Failure to do so may put yourself and others at risk. 

MEMBERSHIP 

• All memberships, whether annual or monthly, are non-refundable. No subscriptions will be returned for any unused membership periods. 

• Colets offers a 14-day cooling off period for all new memberships. Within this period, if a member decides not to continue their Colets membership, they can expect a full refund minus any time already used, along with a £50 administration fee for each adult cancellation. (£10 will be retained for each child). 

• Subscriptions can be transferred to individuals who do not currently hold a Colets membership, subject to Club approval. An administration fee applies. 

• Monthly payments must be made by Direct Debit in alignment with the collection date, typically around the 6th of the month. For new monthly memberships Colets requires a minimum commitment of three months, with a one-month notice required for cancellation. 

• Monthly memberships can be terminated once the minimum three-month period has passed, with one month's written notice to be submitted by the 14th of the month. Failure to submit timely notice will result in one additional full month's fee being debited as a cancellation fee. 

• Annual memberships must be renewed within one month of the original renewal date. Renewals made within this time will resume from the original renewal date, while renewals after this time will be treated as a new sale incurring a re-joining fee. 

• Lapsed or resigned members are not eligible for any joining or referral offers for at least six months after the membership expiry date and are subject to a re-joining fee. 

• Any individual under the age of 18 (excluding Esher College Students) must have a full paying parent or legal guardian linked to their membership. 

• Colets reserves the right to cancel a membership or refuse admission to the premises. Colets policy on Anti-Social Behaviour is available upon request. 

·• Colets offers suspension options for adult memberships. After the minimum three-month period, membership can be suspended for a minimum of two months and a maximum of six months within a twelve-month period. An administration fee of £10 per month applies. Under 18s linked to the primary adult member will also be placed on hold during the suspension period at a charge of £5 per month, per junior. Please note: members may not access the club whilst their membership is suspended. 

• Members who wish to use facilities outside their membership's permitted hours (e.g., Day members who want to swim on weekends) can do so but will be charged the relevant guest fee for each facility. Please note that advance bookings are not allowed. 

• From 1st January 2021, the sale of all Daytime memberships has been suspended. Current Daytime members are not affected by this change, and transfers to this membership type are no longer available. 

PRIVACY

• The premises are monitored by a 24-hour recording CCTV system for the protection of the premises, staff, members, and their property. 

• For the consideration of other members, please limit mobile phone usage in the studios and the gym to fitness apps and music only. Taking phones, devices, laptops, or cameras onto poolside is strictly prohibited. 

PARENTS OF MEMBERS (0-12 YEARS) 

• Junior Members aged from 0-12 years of age may access the Club's facilities from 09:00.  

• A parent or legal guardian must be always present on the premises while the junior member is in the club, and supervision is required unless the junior member is participating in a structured activity organized by Colets. 

• Colets staff are not authorized to supervise junior members unless during scheduled activities. 

• All Junior Members aged from 0-12 years of age must check-in at the club's reception by 17:30, leave the facilities by 18:45, and exit the premises by 20:00.  

• Junior Members aged from 0-12 years of age are allowed to bring a guest into the Club for supervision purposes in the swimming pool only. The guest must be 18 years or older, register at reception, and full guest fees apply i.e. Grandparent/Au Pair

PARENTS OF MEMBERS (13-15 YEARS) 

• Junior members aged between 13 and 15 years of age may access the club’s facilities from the club's opening time without adult supervision. 

• All junior members in this age category must check-in at the club’s reception by 19:30, leave the facilities by 20:45, and exit the premises by 21:00. 

• All members in this category must have an up-to-date physical activity readiness questionnaire (PARQ) and have an induction to the gym area. 

• Members in this age category are only permitted to use the 1st floor of the gym. 

• Members in this age category are not permitted to bring guests into the club. 

PARENTS OF MEMBERS (16-17 YEARS & ESHER COLLEGE) 

• Members aged between 16 and 17 years of age have all day access to the club’s facilities, seven days per week. 

• All members in this category must have an up-to-date physical activity readiness questionnaire (PARQ) and have had a full induction to the gym 

• Members in this age category are not permitted to bring guests into the club. 

SQUASH 

• Courts are available for play during booked times only, regardless of a match being completed or not. However, matches may be completed after the end of the booked period provided members have checked that no one is waiting to use the court on which the are playing 

• Suitable court dress must be worn. Non-marking footwear must be worn at all times. 

• Courts may not be booked or cancelled on behalf of another member other than the linked member in a joint membership. 

• Members failing to appear for a pre-booked court, or cancelling their court within 4 hours of the scheduled starting time of the court, may have their booking rights suspended. 

• We strongly recommend all adult members use protective eye wear when playing squash or racquetball. 

• All junior members must use protective eye wear when playing squash or racquetball. 

GYMNASIUM 

• Members aged 13 years and above must attend an induction before accessing the gym facilities. These sessions can be booked via reception or via the Online Member Area. 

• Junior Members may only use the designated areas of the gym. 

  • 13-15: 1st floor only (Biostrength, cardiovascular equipment) 

  • 16-17: ground and 1st floor equipment 

• As a courtesy to others, please take any mobile phone calls outside of the gym. Additionally, please respect fellow members and equipment by returning used equipment to its proper place.

STUDIO 

• To allow members on the waiting list to book your spot, please provide a minimum of 4 hours' notice if you need to cancel a class. Failure to do so may result in the revocation of your booking rights. 

• Missing a class or failing to check in for three or more classes in one month may lead to a two-week suspension of online bookings. 

• Kindly support us by cancelling your class in advance when unable to attend and remember to check in for all classes, including outdoor sessions. 

• Members who arrive after the class start time may not be allowed to enter the class. 

• While we reserve the right to change the timetable, we will make every effort to provide advance notice of any changes. Please refer to the website and members' booking page for the most up-to-date information. 

• Studio classes are not available for juniors under 13 years of age. However, selected classes marked on the timetable are open to members aged 13 years and over. 

• Only the linked member in a joint membership is allowed to book or cancel classes on behalf of another member. 

POOL 

• Pool rules are posted poolside for members' attention. To ensure safety, we request that members adhere to the following ratios when using the pool with juniors: 

  • 0-5 years: one adult to one junior 

  • 5-12 years: one adult for every two juniors, unless the junior is a Super Swimmer or is using wearable swimming aids (arm bands or flotation jacket). 

  • The maximum parent/guardian to junior ratio is 1:4, at the discretion of the lifeguard/Duty Manager. 

• During Aqua classes, the following lane allocation is provided to each activity: 

  • Aqua class with 10 or less people: 1 x Double Lane for Aqua, 2 x Double Lane for swimming 

  • Aqua class with 11 to 15 people: ½ Pool for Aqua, ½ Pool for swimming 

  • Aqua class with 16+ people: 2 x Double Lanes for Aqua, 1 x Double Lane for swimming 

  • Deep Water Aqua: Deep end (½ Pool) for Aqua, Shallow end for open swimming 

• A lifeguard is always on duty when the pool is open. In the rare event that a lifeguard is not present due to circumstances beyond our control, a prominent notice will be displayed. The lifeguard will also alert all swimmers when they have to leave the pool.
